Privacy Policy

This policy explains how Tiny Turf Team Pty Ltd collects, uses, stores and discloses your personal information. It follows the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). If anything here is unclear, give us a call on 0467 939 622 or email and we'll talk you through it.

1. Who we are

Tiny Turf Team Pty Ltd (ABN 94 680 393 346) is a small artificial turf and landscaping business based in Perth, Western Australia, servicing the metro area from Bunbury through to Yanchep. In this policy "we", "us" and "our" mean Tiny Turf Team Pty Ltd.

2. What we collect

We only collect the information we need to quote, schedule, complete and invoice your job. That typically includes:

  • Your name
  • Your phone number
  • Your email address (if you give us one)
  • Your suburb or job address
  • What you've told us about your space, in writing or over the phone
  • Photos of your yard that you choose to send us
  • Your preferred install date if you book one through the online calendar
  • A record of payments made for the job (date, amount, method). but not your full card details, which only Stripe ever sees

We do not collect any sensitive information (such as health, government identity documents or full card numbers) and we do not ask you to create an account.

3. How we collect it

We collect information directly from you, through:

  • The enquiry form on this website
  • Phone calls, SMS or WhatsApp messages to 0467 939 622
  • Emails you send to tinyturfteam@gmail.com
  • Messages or comments on our Facebook page
  • In-person conversations during a site visit

We do not buy customer lists or collect information about you from third parties without your knowledge.

4. Why we collect it

We use your information to:

  • Reply to your enquiry
  • Arrange and carry out a free on-site quote
  • Provide a written quote and, if you accept it, do the work
  • Stay in touch with you about your job, including any warranty or follow-up
  • Keep our own records of work we've completed

We do not use your information for marketing automation, retargeting ads, or anything you didn't ask us to do.

5. Who else can see it

The only third parties involved in handling your information are the everyday tools we use to run the business. We've kept the list short on purpose:

  • Cloudflare hosts this website (Cloudflare Pages) and runs the small server-side workers that accept your enquiry, store any photos you upload (Cloudflare R2), and read our installer's calendar so we can show you live availability. When you use the site, your information passes through Cloudflare's servers and may appear in their short-term security and traffic logs.
  • Cloudflare Turnstile is the "are you human?" check on our forms. It's a privacy-preserving alternative to traditional captchas. it doesn't show puzzles and doesn't track you across other sites.
  • Web3Forms is the service that takes your form submission and emails it through to our inbox. Your form fields, including any attached photos, briefly pass through Web3Forms' servers (operated by Web3Forms Technologies) before reaching us. See web3forms.com/privacy.
  • Google (Gmail and Google Calendar) is our email provider and how we keep track of installs. Anything you send us by email, or the contents of the enquiry form, ends up in our Gmail inbox and is stored on Google's servers. When you confirm an install date through the booking calendar on our quote page, the booking lands in our Google Calendar so we can plan around it. Your data is handled under Google's privacy policy as well as ours.
  • Stripe handles card payments when you choose to pay your deposit or balance by card or Apple Pay / Google Pay. Stripe collects your card details directly through their own secure form. they never touch our servers and we never see or store your full card number. Stripe is a US-based payment processor regulated globally; see stripe.com/au/privacy for details. Stripe sends us a record of each successful payment (amount, date, last 4 digits of card, your name and email if you provide them at checkout) which we use to match the payment to your quote and issue a receipt.
  • Meta (Facebook / Messenger / WhatsApp) applies if you choose to contact us through those platforms. Your message is governed by their privacy policies as well as ours.
  • Google Fonts is used to load the typefaces on this site. Loading the fonts contacts Google's font servers and may briefly share your IP address; no personal information you've typed into the site is sent to Google Fonts.
  • OpenStreetMap (Nominatim) is the free, community-run mapping database we use behind the scenes to suggest your install address as you type. Address keystrokes are sent to OpenStreetMap to return suggestions, then discarded. See OSM privacy policy.

We do not sell, rent or trade your personal information. We don't run advertising trackers, retargeting pixels, or marketing automation. We will only disclose your information outside the situations above if we're required to by Australian law (for example, a lawful request from a government agency, or where we need to keep records under the A New Tax System (Goods and Services Tax) Act 1999 and related tax law).

6. Where your information is stored

The main copy of your enquiry, quote and job details lives in our Gmail account (Google data centres). Photos you upload through the contact form are kept in Cloudflare R2 storage so we can reuse them on your quote and completion documents. Payment records sit in our Stripe dashboard. Booking dates flow into our Google Calendar.

Cloudflare, Google, Stripe and Web3Forms all operate data centres outside Australia (primarily in the United States and the European Union). By contacting us, booking a job or paying through this site you accept that some of your information will be handled overseas by those providers under their own privacy and security frameworks.

7. How we keep it secure

We use strong, unique passwords and two-factor authentication on the accounts that hold your information. The website is served over HTTPS, so anything you send through it is encrypted in transit. We only access your information from devices we control.

8. How long we keep it

We keep enquiry and customer records for as long as they're useful to the relationship (for example, in case you come back for follow-up work, warranty questions, or another quote). If you ask us to delete your information, we'll do so unless we're legally required to keep a record (for example, for tax purposes).

9. Cookies, tracking and what your browser stores

This website does not set tracking cookies and does not use analytics services that profile you across the web.

A few specific things your browser may store while you use the site:

  • Cloudflare Turnstile may set a short-lived cookie for the form's "are you human?" check. It expires automatically and is not used for advertising.
  • Stripe sets cookies on its checkout pages for fraud prevention when you make a payment. These are managed by Stripe on their domain, not ours.
  • Local storage (a small notebook your browser keeps for this site) holds your quote draft, your locked-in install date, and any referral code you enter. so the page remembers them if you close the tab. This data stays on your device and is not sent to us until you submit the form. You can clear it at any time via your browser's settings.
  • Standard technical data such as cached images, the same way it works for any website.

10. Your rights

Under the Australian Privacy Principles you can:

  • Ask what personal information we hold about you
  • Ask us to correct anything that's wrong or out of date
  • Ask us to delete your information
  • Ask us to stop contacting you

The easiest way is to call us on 0467 939 622 or email tinyturfteam@gmail.com. We'll get back to you within a reasonable time, usually inside a week.

11. Complaints

If you're not happy with how we've handled your personal information, please tell us first so we can try to fix it. If we can't sort it out together, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

12. Changes to this policy

We may update this policy from time to time as our business or the law changes. The date at the top will always reflect the most recent version. Material changes will be noted on this page.
